Landscape Architect/Land Planner Department Head
MHG is located in Montgomery Village, Maryland and provides Civil Engineering, Surveying, Landscape Architecture and Land Planning Services throughout the DC Metro Area with a focus on Maryland jurisdictions.
We are seeking a creative licensed Landscape Architect/Land Planner with practical understanding to head our Landscape Architecture and Land Planning Department and be responsible for managing projects, collaborating with multi-disciplinary design teams, and lead in the design from concept to construction documents. Bachelor’s or Master’s Degree in Landscape Architecture

7-10 years of experience

Job Overview
The Billing Specialist and Collections Manager will be responsible for managing the end-to-end billing process, from accurate invoicing to the collection of outstanding payments, specifically for site engineering, surveying, and landscape architecture services. The ideal candidate will be experienced in working with contracts, project-based billing cycles, handling large-scale construction and design projects, and managing client accounts with a focus on timely payments. This is a full time-position for individuals with other business or technical skills including but not limited to Marketing, Proposal Writing, Human Resource Management, Notary Public Registration, Landlord and Vendor Coordination or Cad Drafting. Part-time work may be available for individuals specializing exclusively in the billing and collection functions.

Billing Management
-
Enter pending and accepted contract information into accounting and billing software database.

Generate and issue accurate billing reports and invoices for site engineering, surveying, and landscape architecture services based on project agreements, milestones, and time-and-materials billing.

Work with principal in charge and project managers to ensure all billable work (e.g., labor, materials, and professional services) is properly documented and invoiced.
-
Resolve billing discrepancies, including addressing issues related to change orders, work scope adjustments, and project delays.

Provide custom billing formats and utilize client proprietary billing portals for selected clients.
-
Ensure that invoices and statements are sent out promptly in accordance with project timelines and contract terms.

Collections Oversight
-
Lead and manage the collections process for overdue accounts across engineering, surveying, and landscape architecture projects.
-
Contact clients to follow up on overdue accounts, initiate payment plans, ensure proper client delivery and resolve disputes in a professional and timely manner.

Collaborate with senior management and Project Managers for collections escalation as needed.

Document all communications with clients regarding collections and ensure follow-through on payment arrangements.

Facilitate Periodic Meetings with company management to review overdo accounts.

Client Relations
-
Establish and maintain strong, professional relationships with clients by providing clear explanations of billing charges, addressing concerns, and resolving payment issues efficiently.

Work closely with the project management and field teams to ensure seamless communication between financial, project, and client-facing functions.

Serve as the primary point of contact for clients regarding billing inquiries.

Reporting & Analysis
-
Maintain accurate records of all billing and collections activities and generate periodic reports for management, summarizing accounts receivable status, aging balances, and collections performance.

Create and maintain custom report widgets in the accounting and billing software.
-
Analyze accounts receivable aging reports to identify trends and develop strategies to improve cash flow and reduce outstanding debt.

Prepare and present regular financial updates to senior management on the status of billing, collections, and revenue recognition.

Stay abreast of billing and accounting software updates.

About You
-
Proven experience in billing and collections management within the engineering, surveying, or landscape architecture industries.
-
Strong understanding of project-based billing cycles, including time-and-materials and milestone-based invoicing
-
Familiarity with the billing complexities of professional services in site engineering, land surveying and landscape architecture.
-
Proficiency in accounting software; Ajera experience a strong plus, advanced Excel skills for reporting and analysis.

Excellent verbal and written communication skills, with the ability to handle difficult conversations with tact and professionalism.

Highly organized, detail-oriented, and able to work independently and in a team-oriented environment.

Ability to work in a fast-paced team environment while maintaining attention to detail and managing multiple priorities
Education and Experience

College Degree in a Business-Related Field or Equivalent Experience Preferred.

5 years of experience in billing and collections management, preferably within engineering, surveying, or landscape architecture field using Ajera.
